Archiving published reports

ConnectReport allows administrators to configure automatic archiving or deletion of published reports older thna a certain number of days. In some environments, you may with to implement a retention policy for reports, or to reduce the amount of published reports in the end-user portal on a regular cadence – report archiving allows you to achieve this.

Configure report archiving

You can configure report archiving from the Management Console as follows:

  • Navigate to the Management Console and choose Manage Content in the sidebar
  • Under Archived report documents, choose ActionsArchive settings
  • Within Archive settings, set Automatically archive reports to True if you wish to enable report archiving
  • Enter a number of days in the Automatically archive reports older than x days input box. Reports created earlier than the current date minus the number of days configured will be archived on a daily basis.
  • Choose whether to delete the archived reports in the Delete archived reports input. If you set this to True, reports older than the threshold you configured will be completely deleted rather than moved into the archived reports table – if you may need to retain or recover archived reports for any reason, do not set this to True.
  • Choose Save

Restoring archived reports

You can restore archived reports to their original location in the portal as follows:

  • Navigate to the Management Console and choose Manage Content in the sidebar
  • Under Archived report documents, identify the archived reports you wish to recover by clicking on them
  • Under Actions choose Restore report(s)

The restored reports are placed back into the portal, are visible to end-users, and appear in the “Generated report documents” section of the Manage Content area of the Management Console.

Manually archiving individual reports

You can manually archive individual reports as follows:

  • Navigate to the Management Console and choose Manage Content in the sidebar
  • Under Generated report documents, identify the generated reports you wish to archive and select them by clicking on them
  • Under Actions choose Archive reports(s)
